1. Information we collect
When you register an act of service, we collect:
- Your first name and surname
- Your email address
- Your phone number (optional)
- Your location: country, and state and city if you provide them
- Your category: Fulbrighter, Chapter, or Friend of Fulbright
- A partnering organization, if you name one
- Your project name and a short description of your planned activity
We also collect limited technical information automatically, such as basic device and usage data needed to run and secure the site.
We do not ask for photos, video, written stories, or survey responses when you register. If we invite you to share those after the event, we will ask for your consent separately at that point.
2. How we use your information
- To register your act of service and display it on the site and activity map
- To review and approve submissions
- To contact you about your registration and the Day of Service, such as confirmations, approval, and reminders
- To produce aggregate reporting on the global day of service
- To keep the site secure and working
3. Our legal basis
For participants in the EU, UK, and other regions with similar laws, we rely on your consent, which you give when you register and can withdraw at any time, and on our legitimate interest in organizing and promoting the Day of Service. Withdrawing consent does not affect anything we did before you withdrew it.
4. What is shown publicly
Some details appear publicly on the site and activity map, and may be shared on Fulbright Association's social media: your first name, country (and state and city if given), category, project name, and description. Your surname, email address, and phone number are never shown publicly. See our Terms for the full list.
5. Who we share it with
We do not sell or rent your information. We share it only with service providers who help us run the platform, for example our technology and hosting providers, who act on our instructions and may not use it for their own purposes. We may also disclose information if required by law.
6. Where your information is stored
Your information is stored on secure infrastructure located in the European Union. We design and operate the platform in line with the principles of the EU General Data Protection Regulation (GDPR): lawfulness, transparency, purpose limitation, data minimization, accuracy, storage limitation, and security. We apply these standards to everyone, wherever you are in the world, because they set a high bar for protecting your information.
7. How long we keep it
We keep your information for as long as we need it for the Day of Service and related reporting, after which we remove it or anonymize it. You can ask us to remove it sooner at any time (see Section 9).
8. How we keep it safe
We use safeguards such as encryption in transit and at rest, restricted administrator access, regular backups, and activity logging. No system is perfectly secure, but we take reasonable steps to protect your information and will let you know without undue delay if a breach affects your data.
9. Your rights
You can ask for a copy of your information, correct it, anonymize your submission, withdraw consent, or have your information deleted. Visit Manage your data and enter the email address you used when you submitted your act of service. We will confirm it is really you with a one-time verification link, then action verified requests within 30 days, subject to any retention required by law. Depending on where you live, you may also have the right to complain to your local data protection authority.
10. Children
The site is intended for adults registering acts of service, and we do not knowingly collect information from children. If a service activity involves young people, the organizer is responsible for any permissions or supervision it needs (see our Terms).
11. Cookies, maps, and links
We use only the cookies needed to run and secure the site. The activity map is powered by a third-party mapping service, and some pages, such as donations, may link to third parties who have their own privacy practices, which we do not control.
12. Changes to this notice
We may update this notice from time to time. The current version always lives on this page, with the "last updated" date above. If we make a change that materially affects how we use your information, we will make reasonable efforts to let you know, for example by email.
